Security and data ownership

Your project records belong to your company, not to us. An admin can download everything (every record plus every photo, drawing and PDF) as one zip file at any time, the database is backed up every night, and people only see what their role and project access allow.

Your data is yours: export everything, any time

In Settings, an admin can export the whole company or a single project. Trakend builds one zip file in the background and emails a download link when it's ready, so a large company doesn't have to keep a browser tab open.

What happens if Trakend goes away, or you leave

It's a fair question to ask any software company. The answer here is that your records never depend on Trakend being around to read them. Exports use standard, open formats: CSV and JSON for data (opens in Excel, Google Sheets or any database), PDF for reports, pay apps and change orders, and your original photo, drawing and document files as they were uploaded. Spreadsheet reports and payroll files can also be downloaded as Excel (XLSX) or CSV.

You can also have Trakend copy documents automatically into your company's own Box or OneDrive account, sorted into your folder structure, with an on/off switch for each document type. That gives you a second, live copy that you control.

Plans are month to month or yearly, with no long-term contract on monthly billing. If you cancel, run a full export first and you leave with everything. Canceling ends billing; it doesn't delete your projects, and account data is only deleted when the account owner asks for it.

Backups

Each company is kept separate

Every company's project data lives in its own separate database, not in shared tables mixed with other customers. Every request is checked on the server: who is signed in, which company they belong to, and whether they have access to that project and that module.

Role-based permissions

Subcontractors see only their slice

Subcontractors you invite work in your project for free, but only in your project and only with their own paperwork. A sub can view drawings, submit RFIs and submittals, fill out their own JHAs, and submit their own change orders and pay applications. They never see your budget, your other subs' change orders or pay apps, or projects they aren't invited to. See how subcontractors use Trakend.

Sign-in and account security

Audit trails where the money is

Approvals record who approved what and when. Time-clock edits are logged with a reason, locked pay periods can only be unlocked by an admin (and that's logged too), approved pay apps freeze their G703 lines so later change orders can't change a filed PDF, and changes to company feature switches are audit-logged.

Frequently asked questions

Can I export all of my data from Trakend?

Yes. An admin can export the whole company or a single project from Settings at any time. The zip includes every record as CSV and JSON plus every photo, drawing and PDF. There's no fee.

What happens to my data if Trakend shuts down or I cancel?

Your exports are standard files (CSV, JSON, PDF and your original photos and drawings) that open without Trakend. You can also sync documents automatically to your own Box or OneDrive. Canceling ends billing but doesn't delete your projects; data is deleted only when the account owner asks.

How often is Trakend backed up?

The database is backed up every night with 14 days of backups kept, and each backup is also uploaded to Cloudflare R2 cloud storage. Uploaded files are archived weekly.

Can subcontractors see my budget or other subs' paperwork?

No. Subcontractors only see the projects they're invited to, and within those only their own company's change orders, pay apps and paperwork.

Is there a long-term contract?

No. Monthly plans can be canceled any time. Yearly billing is optional and costs the same as 10 months.
