Change orders and G702/G703-style pay applications
Price change orders with your overhead and profit markups, sign T&M tickets in the field and roll them into a change order, and bill monthly from a schedule of values on a G702/G703-style pay application. Approved change orders land on the next pay app automatically.
Where money leaks on a construction project
Extra work gets done on a handshake and never billed. T&M tickets sit unsigned in a truck. A change order is approved in March but nobody adds it to the April pay app. Every one of those gaps is money a contractor earned and didn't collect.
Trakend connects the field record to the billing record: the ticket the foreman got signed becomes the change order, and the approved change order becomes a line on the pay application.
T&M tickets signed in the field
- Create a time-and-material ticket on site with labor (regular, overtime and double-time hours), materials and equipment.
- Get it signed on screen by the owner's or GC's representative, or upload a photo of a signed paper ticket.
- Tickets move from draft to submitted, signed, PM approved and converted, so you always know which ones are billable.
- Convert a ticket into a new change order, or add several tickets to an existing draft change order. Once a ticket is used it's locked, so it can only be billed once.
Change orders priced the way you price them
Owner change orders adjust the contract value, while subcontractor change orders count as committed cost on their cost code, so the project budget shows what's really committed.
- Two change order logs per project: change orders you send to the owner, and change orders your subcontractors send to you. Subs only ever see their own.
- Line items, attachments, revisions and reusable templates.
- Markup rules set company-wide or per project: overhead and profit separately for labor, materials, equipment and subcontracted work, plus sales tax and bond. Deducts get no markup by default.
- Statuses for draft, submitted, revision, approved, rejected, executed and void.
- A branded PDF for each change order and a full project change order report.
Schedule of values
Each project's schedule of values (SOV) has categories, cost codes and a retainage percentage on each line. Build it by hand or generate lines from your cost-code budget, one per code or one per division, without replacing anything you've already entered. An approved SOV is required before the first pay app, which keeps billing consistent month to month. Subcontractors submit their SOV to the GC for approval the same way.
G702/G703-style pay applications
- A G702-style application summary and G703-style continuation sheet, generated from the approved SOV.
- Bill each line by percent complete or by dollar amount, including stored materials. Previous applications roll forward automatically.
- Approved and executed change orders are added to the draft pay app as their own lines.
- Retainage defaults per project (10% if you don't set one), can be overridden by line, and can be released in any period.
- Statuses for draft, submitted, approved (the numbers lock), paid, rejected or sent back for revision.
- A server-rendered PDF with an architect/engineer certificate block and optional notary block, filed automatically in the project's Files. Upload the signed copy when it comes back.
- Texas statutory lien waiver forms (conditional and unconditional, progress and final), with upload of the signed copies.
For GCs and for subs
GCs bill the owner and review their subcontractors' change orders and pay apps in the same project. Subcontractors on a GC's project can submit their own change orders, SOV and pay apps through Trakend at no cost, and pay apps lock once submitted. Included on every plan
Change orders, T&M tickets, schedules of values and pay apps are part of every Trakend plan, alongside daily reports and RFIs. Field-reporting apps like Raken stop before the money side; see Trakend vs Raken and our pricing.
Frequently asked questions
Does Trakend produce AIA pay applications?
Trakend generates G702/G703-style pay application PDFs: an application summary and continuation sheet built from your schedule of values. Trakend is not affiliated with AIA and doesn't supply official AIA Contract Documents; if your contract requires official AIA forms, use your licensed AIA documents.
How do change orders get onto the pay app?
When an owner change order is approved or executed, Trakend adds it to the project's draft pay application as its own line, so it is billed on the next application.
Can I add overhead and profit to change orders automatically?
Yes. Set markup rules company-wide or per project, with separate overhead and profit percentages for labor, materials, equipment and subcontracted work, plus sales tax and bond.
How is retainage handled?
Each project has a default retainage rate (10% unless you change it), which you can override on individual SOV lines. Retainage released in a period is entered on that period's pay app.
Can T&M tickets be signed in the field?
Yes. Tickets can be signed on screen at the jobsite or uploaded as a signed paper copy, then converted into a change order. Each ticket can only be billed once.
